Verified Dispatch Terms

These terms apply whenever you ask Prontco to dispatch a contractor from the Prontco Verified vendor list. You accept them by submitting a request on prontco.ca/verified, by email, by text, or by phone. "You" means the property manager, strata corporation, brokerage, owner or other organisation making the request; "Prontco" means Prontco of Richmond, BC (a British Columbia company, or its principal pending incorporation); a "Contractor" is an independent business on the Prontco Verified list.

01What Prontco does

Prontco acts as agent for the Contractor. On each request Prontco selects a Contractor from the list for the trade and location, obtains the Contractor's acceptance, sends you the Contractor's compliance file before attendance, invoices you on the Contractor's behalf, and collects payment. Prontco is not the party performing the work and does not perform, supervise or warrant it. The contract for the work itself is between you and the Contractor.

02The standard

Every Contractor Prontco dispatches meets, at the time of dispatch, all six items of the Verified standard: registered with BC Registries; licensed in the municipality of the work; a current WorkSafeBC clearance letter; commercial general liability insurance of not less than $2,000,000 with a certificate on file; GST registration; and identity confirmed by Prontco on a live call before first dispatch. Separately, every Contractor signs Prontco’s vendor agreement before first dispatch, which requires proper invoicing and a response to every dispatch request within the same business day; these are contractual obligations Prontco enforces, not items Prontco verifies in advance. Prontco tracks renewals and suspends a Contractor from dispatch while any item is expired. The compliance file you receive states what was on file and its dates. Prontco does not vouch for anything beyond what that file states.

03Prontco's own undertakings

  1. Acknowledge every request within the same business day.
  2. Send the Contractor's compliance file before the Contractor attends.
  3. If the assigned Contractor cannot attend, offer the job to another Contractor the same business day and tell you.
  4. Keep one point of contact for every trade on the list.

04Price, approval and changes

Every job has a price before anyone attends. Standard work is priced from Prontco's published rate card (market rates for Metro Vancouver, reviewed quarterly); non-standard work is priced by the Contractor and passed to you, and you may set a not-to-exceed figure. In either case the price is the Contractor's; Prontco's fee is paid by the Contractor out of it, not added to it. Nothing is dispatched until you approve the price, in your job page or in writing.

The approved price is fixed. If the Contractor finds work outside the approved scope, or needs materials, they request it through the job page with an amount and a reason before doing it. You approve or decline in the same page; only approved amounts appear on the invoice. Materials the Contractor supplies are billed at the Contractor's cost plus a 15% sourcing and handling allowance, shown as its own line; Prontco takes no commission on materials. Where Contractor-supplied materials exceed $500, Prontco invoices the materials portion as a deposit before purchase, payable on receipt, and deducts it from the final invoice. Work outside the approved scope done without your approval is not payable. After-hours and statutory-holiday work carries a multiplier on labour, shown on the price before you approve it.

05Invoices and payment

Prontco invoices you for each completed job, for the approved price plus any changes you approved, under Prontco's GST registration, pursuant to a joint election with the Contractor under section 177 of the Excise Tax Act. Payment to Prontco discharges your obligation to the Contractor for that invoice. Terms are net 15 days. Overdue amounts bear interest at 1.5% per month. You will not pay a Contractor directly for dispatched work.

Two prices, your choice. Every price is shown two ways: a card price, and a bank price for payment by pre-authorised debit, EFT or e-Transfer, which is lower by the card-processing amount on the labour. You choose when you approve the price; the invoice carries the price you chose. The Contractor receives the same amount either way.

06Cancellation and no-shows

You may cancel a request at no charge at any time before the Contractor is confirmed, and with at least 24 hours' notice after. If you cancel a confirmed job with less than 24 hours' notice, or the Contractor attends and cannot proceed for a reason on your side (no access, occupant refusal), Prontco invoices the job minimum for that trade as shown on the rate card, and the Contractor receives it less Prontco's commission. If a Contractor cancels with less than 24 hours' notice or does not attend, you owe nothing for that visit; Prontco offers the job to another Contractor the same business day and the Contractor bears a reassignment fee under their agreement with Prontco. A Contractor who does not accept an offer within Prontco's offer window is replaced automatically; you are told only if nobody can be found.

07Problems with the work

Tell Prontco within five business days of the work, from the job page ("Something wrong?") or by email. Prontco will raise it with the Contractor, arrange a return visit or a replacement Contractor where appropriate, and hold the Contractor's remittance until it is resolved. Claims for damage are made against the Contractor and its insurer; Prontco will provide the certificate of insurance and assist. Prontco's own liability is limited to the amounts it has received from you as fees in the twelve months before the claim, and excludes indirect or consequential loss. Nothing limits liability that cannot be limited by law.

08Non-circumvention

For twelve months after Prontco introduces a Contractor to you, you will not engage that Contractor, or a business owned by the same people, for work of the same kind other than through Prontco. If you do, Prontco's commission on that work is payable by you. This clause applies only to Contractors Prontco introduced, and not to any contractor you were already using.

09Access, keys and occupants

You are responsible for lawful access to the property and for any notice occupants are entitled to. Contractors follow your access instructions; key handling is recorded on the job. Where the work requires a fidelity bond (cleaning inside occupied premises), Prontco states in the compliance file whether one is in place.

10Privacy

Prontco collects the contact details and job information you provide to dispatch and invoice the work, and shares with the Contractor only what the job requires. Prontco handles personal information under BC's Personal Information Protection Act. Prontco will not sell your information. You may ask for what Prontco holds about you at info@prontco.ca.

11General

These terms are governed by the laws of British Columbia. Disputes are first raised in writing and discussed in good faith; if unresolved after 30 days, either party may refer the dispute to mediation in Vancouver before any court. Prontco may update these terms with notice on this page; requests made after a change are on the updated terms. Neither party is liable for delay caused by events outside its reasonable control.
