Before anyone holds a key to your building

Hiring a commercial contractor is not hiring a house cleaner with more square footage. You are giving someone after-hours access to other people’s property, usually unsupervised, usually with a fob. Four things are worth confirming before that happens, and all four are free.

  • Check 1 · free · two minutesAre they actually registered? Search the legal name on BC Registries or OrgBook BC, which is free and public. A trading name that matches nothing usually means a sole proprietorship registered under a different name — ask for the legal name, then look again. A business that isn’t registered at all can still be perfectly good at the work, but it also can’t be sued easily, can’t hold a licence and often can’t give you a GST number.
  • Check 2 · free · the one people get wrongA WorkSafeBC clearance letter in your name Under section 258 of the Workers Compensation Act, the person the work is done for can be held liable for a contractor’s unpaid WorkSafeBC assessments. The protection is a clearance letter — but it only protects the party it is addressed to. A letter the contractor pulled in their own name, or one addressed to a previous customer, does nothing for you. Request one yourself, free, from WorkSafeBC.
  • Check 3 · free · one phone callA business licence for the city the work is in Every Metro Vancouver municipality requires one, including for home-based businesses, and a contractor working across several cities needs either a licence in each or an inter-municipal licence. Ask for the number and the city; the licence office will confirm it over the phone. Our guide to the inter-municipal licence explains which one covers what.
  • Check 4 · ask for the certificate, not the promiseLiability insurance that names you “We’re fully insured” is a sentence, not a document. Ask for the certificate of insurance, check the policy dates cover your job, and for commercial property ask to be named as additional insured — which costs the contractor nothing and takes their broker a day. Two more that are specific to commercial work: ask who is actually attending — whether the company subcontracts, and whether the same people come each time — and ask what happens to the fob or key when someone leaves. A contractor who has thought about that answers immediately. A contractor who hasn’t will tell you they’re insured again.

What a commercial cleaning agreement should settle

Most disputes we see in commercial cleaning are not about quality. They are about scope that was never written down, and they surface three months in, when the invoice hasn’t changed but the building has.

Frequency and what happens on a statutory holiday

Weekly, twice weekly, nightly — and whether a missed week is credited or made up. A schedule that lands on a holiday needs a rule before it lands, not after.

What is in the price and what is project work

Carpet extraction, hard-floor stripping and sealing, interior windows above ground level and post-construction cleaning are almost always priced separately. So are consumables — soap, paper, liners — and that line is where two quotes that look identical stop being identical.

Access, alarm and who to call at 11pm

Alarm codes, the order of lock-up, and a named person reachable that night. This is the clause people skip and then need.

Notice on both sides

Thirty days either way is normal. A contract that can only be ended by you giving notice, or only by them, is worth a second read.
